Terms and Conditions

Agreement to these terms

By booking an appointment with Solestice Podiatry and Wellness Ltd — whether online, by telephone, by email, or in person — you confirm that you have read, understood, and agree to be bound by these Terms and Conditions.

Solestice Podiatry and Wellness Ltd is a health and wellness collective. The clinic provides and manages the clinical space; individual treatments are delivered by self-employed practitioners who set their own prices and manage their own appointment schedules. References to “we” or “us” in these Terms and Conditions refer to Solestice Podiatry and Wellness Ltd as the clinic operator. Your treating practitioner may also have their own individual terms, which they will make available to you.

1. Pricing

Appointment fees are set by individual practitioners and reflect their professional training, qualifications, experience, clinical overheads, cost of equipment, and financial sustainability. Prices are not set by Solestice Podiatry and Wellness Ltd.

All prices are as quoted at the time of booking and are non-negotiable. Current pricing for each practitioner is available on our website www.solesticepodiatry.com or by request.

Session time includes pre-treatment consultation, the treatment itself, and any post-treatment discussion or advice. Booking an appointment secures your allocated time slot in full.

2. Booking appointments

Appointments can be booked online, by telephone, by email, or in person at the clinic. Bookings are subject to availability and are confirmed only once you have received a confirmation from us.

Payment online at the time of booking is preferred, as this secures your appointment. Payment may also be made at the clinic on the day of your session.

Please ensure the contact details you provide when booking are accurate, as we use these to send you appointment confirmations, reminders, and any essential clinical correspondence.

3. Cancellations and rescheduling

3.1  Cancellation by you

We require a minimum of 24 hours’ notice to cancel a single appointment. Cancellations must be made in writing by email to solesticepodiatry@gmail.com or directly to the practitioner you booked with.

We are unable to issue refunds for appointments cancelled with less than 24 hours’ notice, or for missed appointments where no notice was given, unless the cancellation was due to an emergency or sudden illness. The full session fee will be charged in these circumstances.

If you need to rearrange your appointment, please contact us as soon as possible. We will make every effort to offer you an alternative date and time. If we are unable to accommodate a rearrangement, or if you do not contact us in advance, the appointment will be treated as a cancellation and the cancellation terms above will apply.

3.2  Block bookings

Block bookings are a set of appointments booked, scheduled and paid in advance at a fixed time. Dates for all sessions in a block are agreed at the time of booking.

We are unable to offer refunds or rearrangements for individual sessions within a block booking that are cancelled or missed. Please ensure you are able to attend all scheduled sessions before committing to a block booking. We recommend checking your diary carefully before confirming your block.

3.3  Cancellation by Solestice or your practitioner

In the very unlikely event that Solestice or your practitioner needs to cancel your appointment — for example, due to practitioner illness, or circumstances beyond our control such as a fire, flooding, or other emergency — we will notify you as promptly as possible.

If your appointment is cancelled by us or by your practitioner:

  • Any payment already made for that appointment will be refunded in full

  • We will offer you the earliest available alternative appointment, subject to availability

Solestice Podiatry and Wellness Ltd shall not be liable for any loss, cost, or inconvenience arising from a cancellation due to circumstances beyond our reasonable control.

4. Payment

Payment can be made by card or in cash. Payment online at the time of booking is preferred; payment at the clinic on the day of your session is also accepted.

Each practitioner at Solestice uses their own payment system. Solestice Podiatry and Wellness Ltd does not hold or process card details on behalf of any practitioner.

Missed appointments — where no advance notice of cancellation was given — will be charged at the full session fee. Please contact us at solesticepodiatry@gmail.com if you have any questions about payment.

5. Conduct at the clinic

Solestice is a professional healthcare environment. We ask all patients, clients, and visitors to treat our practitioners, team members, and fellow patients with courtesy and respect.

We reserve the right to refuse treatment to, or to ask to leave the premises, any person whose behaviour is abusive, threatening, or disruptive. In such circumstances, no refund will be offered for any appointment fee already paid.

6. Clinical responsibility

Clinical treatment at Solestice is provided by self-employed practitioners who are each independently responsible for their own practice, their own clinical decisions, and their own professional indemnity insurance. Solestice Podiatry and Wellness Ltd provides and manages the clinical space but is not responsible for the clinical care delivered by individual practitioners.

Each practitioner at Solestice is registered with and regulated by their relevant professional body (such as the Health and Care Professions Council). If you have a concern about the clinical care you have received, please raise it with your practitioner in the first instance. You also have the right to raise a concern with their professional regulatory body.

7. Complaints

If you are unhappy with any aspect of your experience at Solestice, we want to hear from you. Please contact us at solesticepodiatry@gmail.com and we will do our best to address your concern promptly and fairly.

If your concern relates to the clinical care provided by a practitioner, we will direct you to the practitioner’s own complaints process and, where appropriate, to their professional regulatory body.

8. Changes to these terms

Solestice Podiatry and Wellness Ltd reserves the right to update these Terms and Conditions from time to time. The current version will always be available at the clinic and on request. Continued use of our services following any update constitutes acceptance of the revised terms.

9. Governing law

These Terms and Conditions are governed by the laws of England and Wales. Any disputes arising under these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
